This Privacy Policy explains what information OCTAVIQ (“we”, “us”) collects when you use our scheduling platform, how we use it, and the choices you have. By using OCTAVIQ you agree to the practices described here.
Information we collect
- Account information — your name, email address, role (student, instructor or administrator) and the institute you belong to.
- Scheduling data — lessons, bookings, availability, attendance, reschedules, rooms, credits and related notes.
- Usage data — device and browser details, log data, approximate location, and how you interact with the product (for analytics and security).
- Uploaded content — practice audio recordings, repertoire, messages and other material you or your institute add to the service.
How we use your information
- To provide, operate and secure the service — scheduling, reminders, attendance, practice logging and calendar sync.
- To develop, improve and personalise features, and to understand how the product is used.
- To provide support, communicate with you, and meet legal and accounting obligations.
Sharing with third parties. We may share data with third parties for purposes including operating the service, hosting and infrastructure, analytics, feature development and improvement, and the development, training and improvement of artificial-intelligence and machine-learning models. Where we do this, we use appropriate contractual and technical safeguards.
Sub-processors
We rely on trusted service providers (“sub-processors”) to run OCTAVIQ — for example cloud hosting, database, email and messaging, analytics, and AI/model providers. These providers process data on our behalf under agreements intended to protect it.
Data retention
We keep personal data for as long as your account is active or as needed to provide the service, and afterwards only as required for legitimate business, legal or accounting purposes. We may retain de-identified or aggregated data, which no longer identifies you, for longer.
Your rights
Depending on where you live, you may have the right to access, correct, export or delete your personal data, or to object to or restrict certain processing. Institute accounts are administered by the institute, so some requests are handled through them. To make a request, please reach out through the institute that administers your account.
International transfers
OCTAVIQ is operated from Canada and may process and store data in Canada and other countries. Where data is transferred across borders, we take steps intended to ensure it remains protected under applicable law.
Security
We use reasonable technical and organisational measures to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Institutes and their students
Where an institute uses OCTAVIQ to manage lessons, the institute is responsible for the accounts it creates and for obtaining any consents required for the people it enrols, including any student who is a minor under applicable law.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the date above and, where appropriate, by additional notice.
